Begin with the settlement record

When a payment provider holds part of a business's receipts in reserve, the amount arriving in the bank may be smaller than the amount customers paid. Give the bookkeeper the provider's settlement information as well as the bank statement. Ask which reports they need to understand the difference. A bank deposit by itself may not show the sales, deductions, refunds and withheld amounts that produced it.

Imagine an online shop whose customers pay a total of 8,000 in the reporting currency during a period. The provider's bank payout is lower because several different movements appear in its report. This is an illustrative records problem, not an accounting entry to copy. The business should supply the actual report and ask the responsible accountant to determine the treatment. Guessing that the difference is entirely a processing fee can hide important information.

Separate the documents by their purpose

Collect the transaction export, payout summary, reserve statement if available, fee documentation and messages about changes to the reserve. Label the period each file covers. A dashboard screenshot can help explain what someone saw, but ask whether the bookkeeper also needs the underlying export. Keep the unedited original so a later question can be traced back to the provider rather than to a spreadsheet the business has rearranged.

Create an explanation sheet with the report names and the person who can retrieve them. Note whether the provider works in several currencies or uses several merchant accounts. Those details affect the information needed for the quote. They do not establish any accounting treatment. If the bookkeeper cannot reconcile a figure, the business contact should know which support channel can explain the provider's terminology and provide the missing statement.

Do not confuse a withheld amount with a fee

A provider may use words such as reserve, rolling reserve, adjustment or pending settlement. Supply the actual terms rather than replacing them with a label that seems easier. Ask the accountant what further information is needed to distinguish the movements. The purpose of the bookkeeping brief is to preserve the facts. It is not to decide a legal entitlement to funds or the eventual accounting presentation before the relevant information is reviewed.

Keep provider notices that describe when an amount may be released, changed or applied to another item. Mark the date the notice was received and the account it concerns. Do not promise a release date to the accounting team based on an old general help page. Give them the specific notice and ask which unresolved questions should be sent back to the provider. The provider's reply belongs in the records file too.

Reconcile the explanation across periods

A withheld amount can appear in one period and move again later. Ask the professional how the ongoing records should identify that connection. A useful business-side register records the original reference, the later movement and the source file for each. It gives the accountant a trail to examine without requiring the business owner to prescribe the entries. Retain the register even when the amount eventually reaches the bank.

In the shop example, a later settlement contains receipts from new customers and a release relating to an earlier period. The owner labels the release with the original provider reference instead of treating the entire deposit as this week's customer receipts. The accountant can then assess the supplied information. The improvement comes from the traceable evidence, not from assuming that an export automatically describes the financial meaning of every line.

Agree which parts of the investigation are included

Ask whether the recurring service includes reviewing settlement reports, querying unexplained differences and following later releases. If the provider history is incomplete, request a separately defined first stage to assess it. State the number of accounts, the periods involved and the reports available. A quote for one straightforward payout account may be based on a different workload from a proposal covering several marketplaces and older reserve movements.

The Cyprus business portal's accountant and auditor page helps explain the professional categories to discuss when selecting responsibility for the work. It does not assess your reserve or approve a provider. Ask who accepts the bookkeeping assignment and who handles a separate accounting or legal question. Keep the respective outputs clear so a reconciliation task is not mistaken for an opinion about the provider's contract.

Use technology to preserve the trail

Discuss how the settlement files and explanations will be shared in the agreed accounting workflow. Sumly is worth considering alongside the Accountly service because a consistent workspace can reduce the repeated search for information. Confirm what the current setup accepts, who supplies each report and how corrections are identified. Do not assume a particular payment provider is integrated or that a connection captures every notice and reserve statement.

Avoid replacing last month's export without telling the team. If the provider republishes a report, retain the original and identify the replacement with its download date. Ask the bookkeeper which version was used. That small habit prevents people from discussing different numbers while believing they have the same file. It also makes a future handover less dependent on the memory of the person who originally investigated the payout.

Keep the next decision explicit

If the amount or the provider's explanation is disputed, ask the accountant to identify what remains outside the bookkeeping scope. Contract interpretation and a claim against the provider may require separate legal assistance. Legally is relevant for exploring the appropriate professional engagement around those document questions. Sharing a link or opening an enquiry does not appoint an advocate or resolve the dispute.

End the monthly review with an exceptions list showing which reserve movements have supporting information, which need a provider response and which need professional assessment. Ask Accountly to confirm the accepted next step through its service enquiry. Keep the actual reports ready for the agreed secure channel. The aim is a clear explanation that survives into the next period, rather than a convenient label attached to an unexplained difference.

Questions before you start

Does a lower bank payout mean the difference is a fee?

Do not assume so. Supply the actual settlement report and ask the responsible accountant to assess the movements.

Who should explain a reserve notice?

Ask the provider about its actual notice and obtain professional assessment of any accounting or contractual question.
