A bank balance is not a set of books

You can have money in the bank and still be missing the information needed to run the business. A customer may have paid a deposit for work you have not delivered. A supplier invoice might be waiting in an email account. A payment processor may transfer a net amount after taking its fee. Bookkeeping connects those separate events so your records explain the business rather than simply repeat a bank statement.

The useful question is whether each material balance has a sensible explanation. Your accountant should be able to explain what customers owe, what you owe suppliers, which payments need evidence and which entries need your decision. That is why the engagement starts with the records you actually have and the answers you need, rather than a vague promise to handle everything.

What happens during a bookkeeping cycle

A typical cycle starts with a complete set of sales records, purchase documents and statements for the agreed period. The accountant records transactions, matches payments and reviews balances. Unclear items become a focused question list. You should see which items need attention and why, instead of receiving a long request for every document again at the end of the year.

The exact frequency belongs in your agreement. A business with frequent card sales may need closer attention than a consultancy issuing a few invoices. Agree the period covered, the accounts included, the information you will provide and when the review will finish. A clear handover date gives both sides something concrete to work towards. Bookkeeping becomes a repeatable routine, with visible open items and a defined finish.

Make the balances explain themselves

Reconciliation compares your records with an independent statement or other evidence. For a bank account, the closing balance should connect to the statement for the same date. Differences might be timing, a duplicated payment, a missing fee or an entry posted to the wrong account. The point is to identify the reason, record the right treatment and leave a trail someone else can follow.

Customer and supplier balances deserve the same care. An invoice marked unpaid might already have been settled through a different account. An old supplier credit might still be available. Ask for unresolved differences to remain visible until someone answers them. Moving an unexplained amount into a general expense account makes the screen look tidy without resolving the underlying problem. Your books should tell the truth about what remains uncertain.

Your accountant does the work. We stand behind it.

If your matched accountant makes an error or misses an agreed filing deadline, Accountly arranges full correction and pays resulting fines. Covered services and the claim process are agreed in writing.

A practical document routine beats a monthly scramble

Start with the places where records originate. That might be your sales system, a shared email address, supplier portals or a folder used by the person buying materials. Agree a simple naming and storage approach with your accountant. Keep the source document and the explanation together when a payment is unusual. A bank transfer description alone rarely explains who bought something or why it belongs to the business.

Before each review, check that all agreed accounts and statement periods are included. Tell the accountant about a new card, financing arrangement or payment account when it appears. Send corrections as corrections, with the original reference, rather than silently replacing files. You do not need a complicated administration system. You need a routine that captures the evidence once and makes missing items easy to spot.

Keep access to your numbers through Sumly

Accountly uses Sumly for visibility into your figures and reports. You have access 24/7, so checking the business does not depend on whether someone has replied to your email. That access is most useful when you understand the reporting date and the state of the records behind it. Ask which period is complete and which items are still waiting for information.

A report can change when missing records arrive or an accountant corrects a classification. Treat a draft period differently from a completed one. Agree what the accountant will explain during your review, including the important movements and any unresolved balances. Access to software is useful. Access combined with understandable records gives you something you can actually use when deciding what to spend, collect or investigate next.

Match the work to how your business earns money

A service company may need clean project references and a reliable view of unpaid invoices. A shop may need sales summaries that connect to cash, card receipts and refunds. A hospitality business may have deposits, seasonal spending and several ways of taking payment. These differences change the work involved. Describe your process before agreeing the bookkeeping scope, including the systems and accounts that produce your records.

Growing businesses should also flag changes early. Hiring staff, taking customer deposits, buying equipment or selling into a new market can introduce questions beyond routine transaction entry. Your accountant can identify what needs a separate review before assumptions become habits. The monthly agreement should say how changes in volume or complexity are handled, so the service stays appropriate and any additional work is discussed before it becomes a bill.

Bookkeeping across Cyprus, built around your records

Accountly welcomes enquiries from businesses in Nicosia, also known as Lefkosia, Limassol or Lemesos, Larnaca and Paphos or Pafos. For the Republic of Cyprus service area in the Famagusta or Ammochostos district, that includes enquiries from Paralimni, Deryneia and Ayia Napa. The service is organised around your business records and agreed communication, without assuming you need to live near a city centre.

Location helps explain the business, but it does not replace understanding how you trade. A seasonal operator in Ayia Napa may need a different review rhythm from a year-round consultant in Nicosia. A Paphos business with several sales channels may have more reconciliation work than a Limassol business with a small invoice book. Tell us your location and trading pattern so the proposed scope reflects the work.

Switch without losing the history

Before changing accountant, identify who holds your historical records and what you can export. Ask for the latest completed accounts, the bookkeeping data, the opening balances, relevant submissions and a list of unresolved matters. Keep your own copies. A new accountant needs a starting position they can understand. Starting with an empty system because the old files are awkward simply moves the problem into the future.

Agree a handover date and responsibility for work that crosses it. An invoice issued before the change may be paid afterwards. A return may cover a period that includes both accountants. Write down who prepares it and who deals with follow-up questions. If the existing records need repair, separate that catch-up work from ongoing bookkeeping so you know what the monthly service can reasonably deliver.

A fixed scope makes a fixed price useful

A monthly price should describe the work it buys. Your proposal should identify the business entity, transaction assumptions, record frequency, included accounts and agreed reports. It should also distinguish routine bookkeeping from payroll, tax returns, annual accounts and historical correction work. Those services can depend on the books, but they are different jobs. A clear boundary prevents the familiar argument about what everyone thought was included.

Support for the agreed work is included. Ask questions when a balance does not make sense or a document request is unclear. If a question becomes a separate advisory project, that should be discussed before work starts. Accountly is a technology platform connecting you with an independent accountant. Your agreement identifies the accountant and the responsibility for each part of the service, so you know who is doing the work.

Start with a clean view of what needs doing

Bring a short description of your business, the number of accounts used for business payments, your approximate transaction volume and the last period your books were completed. If you are unsure whether the records are current, say so. A realistic starting assessment is more useful than an optimistic date. The accountant can separate current work, missing evidence and any historical balances that need investigation.

Agree the first reporting period, the document handover and the questions that need answers before work starts. Accountly’s guarantee covers correcting errors and paying resulting fines where the matched accountant makes an error or misses an agreed deadline, under the agreed terms. Keep those responsibilities and deadlines written down. The aim is straightforward: records you can follow, an accountant you can question and a monthly process that does not depend on chasing.

CLEAR BEFORE YOU COMMIT.

Bookkeeping questions, answered.

Specific answers. No accounting fog.

Is bookkeeping the same as filing my tax returns?

No. Bookkeeping organises the underlying records. A return uses those records for a particular submission. Agree separately which returns are included, who checks them, who submits them and how approval works. Do not assume a monthly bookkeeping agreement includes every filing.

Can I move from my current accountant?

Yes, subject to an agreed handover and access to your records. Start by identifying the last completed period and any approaching commitments. Ask for a written responsibility split so historical work, current bookkeeping and outstanding submissions have a named owner.

What happens if some receipts are missing?

Tell the accountant what is missing and provide any other relevant evidence. They should identify what can be resolved, what needs follow-up and what remains uncertain. Do not invent a receipt or assume a bank payment alone establishes the correct accounting treatment.

Will I have access to my figures?

Yes. You have 24/7 access to figures and reports in Sumly. Ask which period is complete before using a report for a decision. Missing information and open review items should be explained alongside the numbers, rather than hidden by a tidy dashboard.

Does Accountly employ my accountant?

Accountly is a technology platform that connects businesses with independent accountants. Your engagement identifies the accountant providing the work and the agreed responsibilities. You should understand who prepares your records, who answers questions and who handles any separate filings before starting.
