A payroll run begins before pay day

Payroll accuracy depends on the information available before the calculation starts. New starters, departures, pay changes, approved absence and other employee updates need to reach the accountant through an agreed process. If those changes arrive through several conversations, it is easy for one to disappear. A single monthly input record gives the employer and accountant a shared reference for the work.

Start with a calendar for collecting changes, preparing the draft and giving approval. Leave time to ask questions before employees expect payment. The working calendar should also identify any reporting and payment responsibilities accepted in the engagement. A clear process reduces rushed corrections, but it still requires you to provide complete, approved information. An accountant cannot reliably calculate a change they have not been told about.

02 /

Give every employee a reliable starting record

An employee file should identify the person, the agreed employment details relevant to payroll and the information the accountant needs to calculate pay. Keep changes dated and approved. A pay increase agreed verbally may need confirmation before it enters the payroll run. The same applies to a change in working pattern or the start date of a new employee. These details should not depend on someone remembering an old conversation.

Ask the accountant for a defined starter and leaver information list. Only collect the information needed for the work and use an agreed way to share it. Avoid sending unnecessary employee documents through several personal inboxes. The engagement should explain who maintains the employer records and who updates the payroll record, especially where someone in your team handles employment administration separately from the accountant.

03 /

Explain the pay arrangement before calculation

A fixed monthly salary is a different starting point from hours that vary, a bonus or a commission arrangement. Explain each agreed pay component and how the employer has approved it. If time records feed the payroll, identify who checks those records first. The accountant should not have to decide whether an employee actually worked particular hours or whether a manager intended to approve an additional payment.

Unusual payments need particular attention. Tell the accountant about benefits, reimbursements or one-off amounts before assuming they can be added to the normal calculation. The correct treatment depends on the facts and the applicable rules, which the accountant should assess for your circumstances. This page does not set standard deduction rates or apply the same treatment to every employee. Your payroll needs an informed review of the actual arrangement.

Your accountant does the work. We stand behind it.

If your matched accountant makes an error or misses an agreed filing deadline, Accountly arranges full correction and pays resulting fines. Covered services and the claim process are agreed in writing.

Check the draft before money moves

The draft payroll should give you a usable way to review the run. Compare the employee list with the people you expect to pay, review changes from the previous period and check unusual amounts. A new employee appearing twice or a departed employee remaining on the list is easier to address before payment. Ask for a clear explanation of differences rather than approving a total you cannot connect to the underlying changes.

Name the employer representative who can approve payroll and the backup person if they are away. Keep approval tied to a specific version. If a late change alters the numbers, agree whether a revised run is needed and obtain approval again. Payroll preparation does not automatically authorise an accountant to move money from your bank. Your engagement should explain who makes the payments and how the approved figures reach that person.

Employees deserve understandable answers

An employee question about their payslip can reveal missing input, a misunderstood change or a calculation that needs review. Agree how questions reach the accountant and who replies to the employee. Some employers prefer a single internal contact so personal information remains controlled. Others need support preparing an explanation they can deliver themselves. Set the route before the first question arrives after pay day.

Support about the agreed payroll work is included. That does not mean every employment dispute or contractual decision becomes payroll preparation. If an issue needs legal or specialist employment advice, identify it clearly and agree the next step. The accountant can explain the calculation they prepared; the employer remains responsible for decisions about employment terms and the information it authorises. Clear boundaries help employees get a useful answer from the right person.

Make reporting responsibility explicit

Payroll may involve reporting and payment obligations beyond producing employee pay figures. Identify each relevant responsibility with the accountant during the initial assessment. The engagement should distinguish calculation, report preparation, submission, approval and payment. These tasks often happen close together, which makes it especially important to name the person responsible for each. A payroll spreadsheet on its own does not establish that a separate submission has been made.

Check applicable requirements with the Cyprus Social Insurance Services and Tax Department, and have the accountant confirm how they apply to your employer. Keep acknowledgements and supporting records for work completed within scope. If the business receives a notice or query, send it promptly rather than assuming the accountant already received the same message. Agree whether handling that correspondence is included or requires a separate review of earlier periods.

Payroll support for employers across Cyprus

Accountly accepts enquiries from employers in Nicosia or Lefkosia, Limassol or Lemesos, Larnaca and Paphos or Pafos. Our Republic of Cyprus service area also includes Famagusta or Ammochostos district locations such as Paralimni, Deryneia and Ayia Napa. The proposed service depends on the employer and employee arrangements, with communication organised around the payroll calendar rather than an assumed local office visit.

A seasonal employer in Ayia Napa may have frequent starters and leavers. A professional practice in Nicosia may have a stable team with occasional bonuses. A shop in Larnaca may need approved hours from a manager before preparation can begin. These examples show why employee count alone does not describe the whole job. Tell us how your team works, who approves changes and when employees expect to be paid.

Move payroll with a proper handover

A payroll handover needs more than a list of names and salaries. Ask the previous provider for relevant employee balances, prior period records, submitted reports and any outstanding questions. The new accountant needs to know where the payroll stands at the transfer date. Keep a clear distinction between records accepted as the starting point and records that need a historical review before anyone relies on them.

Choose a transfer point that gives enough time to check the first run. Agree who handles corrections relating to periods before the change and who answers an employee question that crosses the handover. If an earlier record looks wrong, identify the work needed to investigate it. Do not quietly carry an unexplained figure forward because a pay date is approaching. A documented opening position helps the next period start with fewer assumptions.

09 /

A payroll price should describe the actual workload

Your proposal should identify the number of employees, the pay frequency, the routine inputs and the reports or payslips included. It should explain the handling of starters, leavers, late changes and additional runs. A business with a stable salary list has a different workload from one with frequent changes. Tell the accountant about those changes before comparing monthly prices as though every payroll package covers the same work.

Accountly is a technology platform that connects employers with independent accountants. The engagement identifies the provider responsible for the accepted payroll work. Accountly’s guarantee covers correcting the work and paying resulting fines where the matched accountant makes an error or misses an agreed deadline, subject to the agreed terms. Confirm the required employer inputs and approval dates in writing so the responsibility is understandable to both sides.

Set up the first run before the pressure starts

For an initial discussion, explain the employer entity, approximate employee count, pay frequency and whether payroll is already running. Mention any approaching pay date and the state of the existing records. You do not need to send sensitive employee details with a general enquiry. The accountant can identify what is needed after the service and sharing process have been agreed.

Before the first run, confirm the input template, the person who approves changes, the draft review date and the payment responsibility. Ask what happens if someone joins or leaves after the normal cut-off. Keep the agreed procedure somewhere your team can find it. Payroll works best when everyone understands the routine before an urgent change arrives. The first objective is a dependable process your business can repeat each period.

Does payroll preparation include paying employees?

Only if the engagement explicitly says so and the required authority is agreed. Calculation and payment are separate tasks. Many employers retain payment control and use approved payroll figures to make their own bank payments. Confirm the arrangement before the first pay date.

Can the accountant handle starters and leavers?

Include these tasks in the scope and agree what information the employer must provide. The accountant needs accurate dates and approved details. Any required registration or reporting should be listed separately rather than assumed to follow automatically from adding a name to payroll.

What happens when an employee questions a payslip?

Use the agreed query route so the accountant can review the calculation and the inputs behind it. The employer should identify whether the question concerns payroll arithmetic, approved hours or an employment decision. Those questions may need different people to resolve them.

Are payroll rates and deadlines the same for everyone?

Do not assume one generic schedule fits every employer and employee. Ask the accountant to confirm the applicable treatment and obligations using current official guidance. The service agreement should identify your own reporting responsibilities and the working dates needed to complete them.

Can I keep payroll separate from bookkeeping?

Yes, if the scope and handover between providers are clear. Agree which payroll summary and balances reach the bookkeeper, when they arrive and who investigates a difference. Payroll and bookkeeping records should connect without either provider assuming the other has made an unexplained adjustment.
