Identify each company before asking for one combined price

If you organise bookkeeping for more than one company, start the enquiry with a separate brief for each business. Identify the records, current stage, contact person and output required for that company. You can ask for one commercial proposal covering several assignments, but the document should still make those assignments understandable. A shared owner or coordinator does not explain which work belongs to which business.

Accountly publishes this guide as a commercial service provider. It is not independent professional advice about a company group. The worksheet helps you request a clearer engagement and price comparison. It does not promise a multi-company discount, shared workspace, consolidation service or permission arrangement. Ask which actual work Accountly can accept and keep every professional engagement subject to confirmation.

Make a small brief for each business

List the business identifier supplied by the appropriate person, the period requiring support and the sources of records available. State whether you are seeking ongoing work, historical catch-up or a defined handover. If the information is incomplete, label the gap instead of making the entries look identical. Two companies with similar names may have very different records and immediate needs.

Ask the provider which documents it needs to identify and assess each proposed engagement. Share them through the agreed route once that route is established. An introductory comparison does not need an indiscriminate archive containing every company's information. Explain your coordination role and ask the provider how the appropriate parties should confirm instructions for the work being proposed.

Compare a shared contact with separate authority

A founder, employee or external administrator may act as the practical contact for several assignments. Ask which matters that person can coordinate and which decisions require confirmation from someone else. Identify the person who answers record questions for each business and the person who approves an additional charge. Do not rely on one informal group conversation to establish every participant's role.

This article does not determine who has authority to represent a company or access its records. Ask the provider what evidence or authorisation its actual engagement requires. If there is uncertainty about a person's authority, obtain the relevant advice before relying on their instruction. The practical benefit of the brief is that it exposes the question rather than silently treating all contacts as interchangeable.

Keep the deliverables distinguishable

Request a clear description of what the provider will deliver for each accepted assignment. Identify the period covered, the intended recipient and any information needed before completion. If a combined progress summary is proposed, ask how it distinguishes each business's open tasks. A useful coordination summary should make a missing input visible without being confused with the underlying records or professional output.

Ask separately about any requested group-level report. Combining information for a management discussion is a different assignment from maintaining the underlying business records. The provider should explain whether it can accept the requested output and who must confirm its basis. This worksheet does not decide consolidation requirements, accounting treatment or the statutory obligations of any individual company.

Flag records that cross the assignments

If the same source material appears relevant to more than one business, flag that fact in the enquiry. Ask the professional what further information is needed to understand it. Do not duplicate a record across assignments simply to ensure someone notices it, and do not decide its treatment from a generic article. Keep the original information distinguishable from an explanatory note you have added.

Describe the practical issue and the people who can answer it. The service quotation can then identify whether clarification, further review or a separately scoped task is needed. A commercial price based only on the number of companies may miss that work. The Cyprus professional-practice guidance is background for checking the relevant professional role, not a substitute for that person's assessment of the actual records.

Ask for a transparent charging breakdown

Request a fee and charging assumptions for each assignment, plus any separately proposed coordination work. If the provider offers a combined amount, ask what it covers and how a change affecting one company will be handled. A discount should not obscure which service has been accepted or which costs remain separate.

Explain differences in activity or record readiness between the businesses. Ask how additional historical work, a new source of records or a requested report would be quoted. Confirm whether the displayed amounts include tax. Compare equivalent proposals using the same briefs rather than dividing a package price by the number of companies and assuming the resulting average represents every assignment.

Plan questions and delivery dates by company

Ask how the provider will identify an outstanding question and send it to the right contact. A shared coordination call may be convenient, but some matters may need a separate discussion with the appropriately authorised person. Request the actual communication arrangement and the way accepted decisions will be recorded.

Keep delivery dates specific to the work proposed. One company may be ready to start while another still lacks records or an accepted engagement. Ask whether the provider can sequence the assignments accordingly. Do not infer that acceptance of one business automatically means all the other work has started or that the same completion date can be promised for everything.

Make changes without losing the remaining scope

Ask what happens if one assignment changes or ends while the others continue. Request an explanation of which information will be handed over, the status of open tasks and the charges proposed for any additional work. A combined commercial relationship should still let you identify the current position of each accepted service.

Your Europe's contract-information guidance gives general consumer purchasing background. It does not determine the legal effect of a business engagement or a notice provision. This guide does not interpret cancellation rights, data rights or access authority. Use the actual agreement and appropriate professional advice where those questions need to be resolved.

Send a proposal that can be assessed

Send a separate brief for each business, your role, the requested periods and the outputs you need. Ask the provider to identify accepted work, outstanding information and the charging basis. For a general starting point, use our bookkeeping service page and confirm the suitability of the actual enquiry. No specialist or multi-company service should be assumed from a general monthly offer.

Sources were checked on 24 October 2026. The comparison method is original editorial purchasing guidance informed by the Cyprus professional-practice page and general EU contract information. It is not tax, consolidation or legal advice and makes no claim of unlimited support or a special group tariff. Demand and commercial value are qualitative assessments without measured keyword-volume or profitability data.

Questions before you start

Does one shared contact define every company engagement?

No. Identify the contact role, instructions and accepted work for each business. Ask the provider how the appropriate parties confirm authority.

Does one combined price include group reporting?

Only the actual scope can answer that. Ask separately about any requested group-level output and its professional basis.

Does the article decide consolidation or tax treatment?

No. The relevant professional must assess those questions. This is a worksheet for comparing service proposals, not accounting or legal advice.
